It is the hope that the following questions and answers will be helpful. Please keep in mind that these are general and the needs of every business or organization are unique and specific:

Q. What type of documents can be scanned?

A. Any document can be scanned. Size is not an issue - standard paper to business cards, sticky notes are scanned.

Q. How will my documents be indexed or stored?

A. There are several different ways files are indexed. Files are indexed to meet each clients needs specifically...index is done to compliment your filing system and business needs.

Q. What file formats are used?

A. All data is scanned in 600dip or 300dpi and is scanned as PDF or TIFF file in Adobe Acrobat.

Q. Do I need to purchase software or hardware?

A.  No. All files are scanned in Adobe Acrobat which is already loaded on most computers or can be downloaded on line at no charge.

Q. How many documents can be scanned on to a CD?

A. Approximately 25,000 pages.

Q. How long does this process take?

A. CompuScan Solutions is capable of high volume scanning. CompuScan Solutions will pick-up your documents immediately to assist in eliminating off site storage fees. Upon receipt of documents scanning will being immediately. CompuScan Solutions is fully staffed and capable of processing thousands of files each day.

Q. What about data security once my files are electronic?

A. No one can change the data on your files, because they are read-only image files. All data will be converted to TIFF or PDF, which makes it impossible to add or delete any data.

Q. What if my files are a mess? What do I need to do to get them ready for scanning?

A. No problem if the files are a mess. There is nothing that you or your company needs to prepare them for pick-up. CompuScan Solutions will prepare all files prior to scanning so that the be possible image can be scanned and insure that notes on file covers, sticky notes etc. will be scanned. No information will be lost or overlooked.

Q. How do you know how to label my files so I can find them in my system?

A. Labeling or indexing can be done in several different ways. The labeling or indexing will be customized to match your current filing methods so the transition is seamless.

Q. How do the files get into our system so we can access them?

A. Upon completion of all records being scanned the data is stored on a CD/DVD. The CD/DVD can be read in a CD/DVD-ROM drive, saved to a desktop PC hard drive, or hosted on a network server. With a network server data can be accessed by everyone at the same time and productivity is increased.

Q. We are making new files and adding paperwork everyday. How are current files integrated?

A. Archived files will be stored on separate CD/DVD than current files. Current files will be converted to digital files as the needs of the business requires. CompuScan Solutions could pick-up the beginning of very month the previous months documents, scan and return the completed CD/DVD within 30 days.

Q. What if a file is needed during the scanning process?

A.  All files are indexed when the documents are picked-up. CompuScan Solutions will either email a scanned copy of the file in need or hand-deliver the file.
